Backup and Restore Data

Back Up Your Data

Microsoft Online Services automatically backs up and archives your data. However, if you want to back up and archive data on your own system, there are several ways to do this:

· By default, the AutoArchive feature in Microsoft Office Outlook automatically backs up and archives user data. The user can also back up data manually. For more information about how to back up your Office Outlook data, see Backing up and archiving.

· To manually back up an Office Outlook profile (.pst file), see How to manage .pst files in Outlook.

Restore Your Data

Microsoft Online Services automatically backs up your data and retains it for 14 days. Therefore, data older than 14 days is not recoverable via a restore from backups. There are other per-service mechanisms that can be enlisted to recover certain items. The following tables list the possible data restore scenarios.

Office Outlook Data Recovery

Problem

Service Administrator Restore

Microsoft Online Services Restore

Item deleted by mistake

The user can restore items using the Recover Deleted Items command from the Office Outlook Tools menu within 14 days after the deletion.

If there are backups of the user profile (.pst or .ost files), the service administrator can restore from these backups. For more information about how to restore from these files, see How to use the Inbox Repair Tools to recover e-mail messages.

Microsoft Online Services does not provide restore service for deleted items.

Corrupted item

If there are regular backups of the user profile (.pst or .ost files), the service administrator can restore from these backups. For more information about how to restore from these files, see How to use the Inbox Repair Tools to recover e-mail messages.

Microsoft Online Services can restore corrupted items if the recovery request is made within 14 days of the corruption. The service may take one business day to complete, but the item will be current within two hours of the time when corruption occurred.

Mailbox deleted by mistake

The service administrator cannot recover this data.

Exchange Online provides the ability to retain deleted mailboxes for 30 days after the deletion. If the request to restore this mailbox is made within 30 days of the deletion, the mailbox can be restored without resorting to a restore from backups. The service may take up to one business day to complete, but the restored mailbox will be current of the time when it was deleted.

Disaster recovery

The service administrator cannot recover this data.

Microsoft Online Services can restore Exchange Online data even in the event of a total primary data center loss. The restore service may take several hours to complete. The restored data will be current within approximately eight hours of the time when the outage occurred.

Microsoft SharePoint Online Data Recovery

Problem

Service Administrator Restore

Microsoft Online Services Restore

SharePoint site deleted by mistake

No self-service recovery is possible. Contact Microsoft Online Services to recover.

Microsoft Online Services can restore deleted SharePoint Site Collections on a cost-recovery basis if the recovery request is made within 7 days of the deletion.

The length of the time to complete the restore service depends on the amount of data and operational constraints. The site will be current within 24 hours of the time when deletion occurred.

Item deleted by mistake

The user can recover items from first stage recycle bin for up to 30 days.

If the first stage recycle bin has been emptied, the site collection administrator can recover the item from second stage recycle bin. This bin is size-limited, so the length of time that items remain in this bin depends on the volume of deletions.

If versioning is enabled, the user can recover an earlier version.

Microsoft Online Services does not provide restore service for deleted items. It can be done via self-service through the recycle bin or through restoration of the whole site.

Corrupted item

If versioning is enabled, the user can recover an earlier version.

Recovery is not supported. User can recover an earlier version via self-service.

Corrupted site

For most site corruption problems, the site collection administrator can open the site in SharePoint Designer and revert to the site definition.

Recovery is not supported. Site collection administrator can correct most site corruptions with SharePoint Designer.

Disaster recovery

The service administrator cannot recover this data.

Microsoft Online Services can restore SharePoint Online data even in the event of a total primary data center loss. As with Exchange Online data, the restore service may take several hours to complete. The restored data will be current within approximately 12 hours of the time when the outage occurred.
